Position Summary

Performs a variety of administrative/clerical support tasks for a specific project, business, or technical unit. Specialized training and education are generally required. Individuals at this level have a comprehensive knowledge of administrative procedures and processes and function with a fair degree of independence. Duties may involve providing support to senior level executives, or serving as the lead support individual for large complete projects or operations.

  • Typing, formatting, revising and safeguarding project documents

  • Ensure all documents conform to Jacobs and client standards

  • Facilitate smooth flow of documents requiring approval signatures

  • Employee development including daily on the job coaching

  • Attend project / department meetings as requested

  • Maintaining on-line and hard-copy filing systems for project documents in JPI

  • Organize catering for meetings and performing pre / post-meeting functions

  • Assisting with travel arrangements for project

  • Prioritizing workload, working independently, multitasking

  • Distribution of project materials, mail, etc.

  • Assemble monthly reports

  • Requesting access and rights for team members and clients to project directories and JPI

  • Creating and maintaining the Project Roster, Distribution Matrix,

  • Maintain safety records for project team


  • High School graduate or equivalent required

  • 10 years' of relevant experience required

  • Experience with Microsoft Office including: Word, Excel, Outlook and Power Point required

  • Exceptional oral and written communication skills required
